This policy covers the private QuickBooks bookkeeping tool ("the tool") operated by Kenneth Gay, doing business as KG IT Pro ("we"). The tool is used only by KG IT Pro, on behalf of clients who have engaged KG IT Pro for bookkeeping cleanup and who authorize the connection to their QuickBooks Online company.

What we access

With the client's authorization, the tool reads the client's QuickBooks chart of accounts and transactions, and creates or removes transactions that reconcile the books to the client's own bank and card statements. It does not access payroll tax filings, payment card numbers, or Social Security numbers.

How data is stored

Data is processed on a single KG IT Pro computer with full-disk encryption. QuickBooks access tokens are kept in a file readable only by the operator's account. We do not use a cloud database for this data, and we do not sell, share or disclose it to third parties, except as required by law.

Retention

Client data is kept only for the duration of the engagement and the client's record-keeping needs, then deleted on request or at the end of the engagement. The client can disconnect the tool at any time from QuickBooks (Settings, Apps), which immediately revokes its access.
